Location: State of Maine Offices, Augusta, Maine (Hybrid position: 2 days onsite at minimum, 3 days remote)

We are looking to bring on board a Prevention Services Coordinator (PSC), who is a part of the Tobacco and Substance Use Prevention and Control Program at Maine CDC. The PSC is responsible for the oversight or support of several prevention services contracts including substance use prevention, evaluation and training. This position is one of the primary contacts for the contracted providers. This position is responsible for ensuring contract compliance of deliverables, timelines and reporting requirements as well as coordinating with the MPN Program Manager on timely invoice approval/denial. The PSC position works closely with the Substance Use Prevention Program Manager on the approvals of content area workplans and spending of funds. The PSC collaborates with the Maine CDC Program Managers and program teams to support streamlined communication, meeting management, administration and planning.

The PSC will report to the Maine CDC MPN Manager regarding day-to-day programmatic priorities and report to the MCD Program Manager regarding administrative and performance related items.

Essential Job Functions:

  • Oversees community-based substance use prevention provider contracts, the training/workforce development vendor contract and supports other contract management tasks as assigned.

  • Ensures contracted providers meet the required deliverables, timelines and reporting requirements.

  • Assists Program Managers with the review and approval/denial of contracted providers’ workplans and utilization of funds.

  • Assists MPN Program Manager with invoice review and approval/denial.

  • Facilitates regular meetings with contracted providers to provide technical assistance and ensure contract compliance.

  • Supports MPN Manager with coordination, planning and facilitation of key meetings, conferences and site visits for each MPN district community partner annually.

  • Works closely with the MPN Manager to establish and maintain a centralized communication and collaboration platform to support MPN work products, campaigns, tools, templates, training, calendar of events, document repository, etc. in collaboration with MCDC Program Managers.

  • Assists with reporting requirements and communication management for internal and external stakeholders.

  • Assists with grant management, including but not limited to quarterly and annual reporting and budget management.

  • Travel as required for conferences, meetings, and trainings.

  • Other tasks as assigned.

Job requirements

Knowledge, Qualifications and Skills:

  • A Bachelor’s Degree in Public Health, Social Work or a closely related field.

  • A minimum of one (1) year experience with primary prevention, preferably substance use prevention OR a minimum of one (1) year experience overseeing or providing services (prevention, mental health, substance use etc.) with required expectations (contracts, MaineCare rule etc.).

  • Excellent interpersonal skills, ability to communicate effectively both orally and in writing.

  • Program and/or grant management experience.

  • Ability to establish and maintain effective working relationships.

  • Strong organizational skills and the flexibility and ability to manage time and multiple tasks independently.

  • Proficiency with all current Microsoft Office programs. Experience with Smartsheet would be a plus.
