The Purchasing and Logistics Associate will be responsible for managing the procurement of goods and services, ensuring timely and cost-effective purchasing, and coordinating logistics to ensure smooth distribution of materials for our projects. The successful candidate will play a key role in supporting the operational needs of the organization and ensuring efficient supply chain management.


Job duties:

  • Oversee and manage the procurement process for goods, services, and equipment in line with the organization's policies and donor requirements.

  • Identify and negotiate with suppliers to obtain competitive pricing and high-quality products.

  • Track and manage inventory levels, ensuring timely replenishment of stock as needed.

  • Coordinate the logistics for shipping, receiving, and distribution of supplies and materials to various project sites.

  • Collaborate with the finance team to ensure accurate and timely processing of purchase orders and invoices.

  • Maintain and update records of purchases, suppliers, contracts, and deliveries.

  • Work closely with program teams to understand and anticipate purchasing and logistics needs.

  • Ensure compliance with procurement regulations and organizational policies.

  • Assist in the preparation of procurement reports for internal and external stakeholders.

  • Participate in procurement planning and budgeting exercises.

Job requirements

Knowledge, Qualifications, and Skills:

  • Bachelor’s degree in supply chain management, business administration, logistics, or a related field.

  • At least 2 years of experience in procurement, logistics, or supply chain management, preferably in the NGO or non-profit sector.

  • Strong understanding of procurement best practices and supply chain management.

  • Advanced knowledge of all current Microsoft Office software programs and in particular Excel.

  • Excellent negotiation and communication skills.

  • Strong organizational and problem-solving abilities.

  • Ability to work under pressure and meet tight deadlines.

  • Knowledge of donor procurement regulations (e.g., USAID, EU, etc.) is an advantage.

  • Proven track record of successful teamwork using virtual collaboration.

  • Proficiency in Spanish, French, or Portuguese a plus.

  • Effective oral and written communication skills.
